Exhibitor FAQ

  • All exhibitors are required to submit a booth layout for approval to boothreview@ahrexpo.com. Spaces that do not adhere to the Booth Construction Guidelines may be subject to alterations on location.

  • No, exhibiting companies are not required to submit proof of insurance.

    Only appointed contractors, other than Freeman, hired by exhibiting companies are required to provide a certificate of insurance to show management.

  • The purchase price of your booth space includes:

    8’ high booth back drape
    3’ high draped side dividers
    Identification sign with company name & booth #. Note: This sign is automatically included for booths up to 300 square feet, but must be specifically requested for spaces larger than 300 square feet.

  • There are no deadlines for ordering booth services, however, there are discounts for ordering early.

  • Employees with at least 6 months at the exhibiting company may begin dismantling their space at the close of show (Wednesday, 4:30pm)

  • Anywhere from 12-15 hours should be allowed for empty crate return.

  • A limited number o online and onsite sponsorships, as well as online directory upgrades are available. See the Marketing Resources page for more details. Sponsorships are for exhibiting companies only.

  • There are three different types of sessions going on during the AHR Expo. Here is some general information on each them.

    Open to all exhibitors is the opportunity to give a 20-minute product presentation in one of the New Product Theaters. Exhibitors (and co-exhibitors) with signed contracts and a deposit payment on file are invited to request a time slot to give a presentation on a new product or technology they are showcasing in their booth. Time slots are limited but we do our best to accommodate as many interested exhibitors as possible. An announcement email with a link to the online form is sent out in early summer. Spots are limited and the schedule fills up quickly, often before the submission deadline.

    The free educational program at the show is made up of seminars hosted by our endorsing associations. It is up to each organization where they source their topics and speakers, with the single condition that speakers cannot be from manufacturers that are not exhibiting at the show. A call for seminars is sent to the associations around the end of June with a soft deadline for submissions sometime in August. If you are a member or otherwise connected to one of our endorsing associations or their cause, they may be willing to host your seminar.     The ASHRAE Winter Conference, held at a local hotel in conjunction with the AHR Expo, has its own call for seminars/papers. More information on their program is available on their website at: www.ashrae.org/conferences/2025-winter-conference-orlando

  • Yes, exhibitors must notify Show Management when they plan to utilize the services of an EAC other than the show’s general contractor (Freeman) via the Online Notification Form.

  • There will be complimentary wifi in meeting rooms and public spaces.

  • Exhibitors can register for as many badges as needed for company employees. Advamce registration is free but starting February 9, there will a $10 onsite badge registration fee for any new registrations. Badge corrections and replacement badges continue to be free.

    Show registration opens July 2024.
