Exhibit Planning

  • Receipt of Freight/Set-up of Exhibits
    Freight should be scheduled to arrive at the time designated for the exhibitor’s booth as shown on the target move-in plan. Once display materials have arrived at the booth, set-up may proceed according to the schedule below.

    Fri, Jan 19 / 8am - 5pm
    Sat, Jan 20 / 8am - 5pm
    Sun, Jan 21 / 8am - 3:30pm

    All exhibitors who plan to work late (after 5pm or after 3:30pm on Sunday), must notify Show Management so that security will be instructed to permit them to remain in the hall. Once a person has left the hall after 5pm (or 3:30pm on Sunday), they will not be allowed to re-enter.

    All unpacked crates and shipping material must be labeled and left in the aisles for pick-up before 3:30pm on Sunday. Empty labels will be available at the Exhibitor Services Center.

    Dismantle of Exhibits/Move-out
    The return of empty containers will begin as soon as the aisle carpeting is removed following the close of the show. The entire process will take approximately 12-15 hours. Note: Exhibits must remain intact until the show closes at 4pm on Wednesday.

    The Show Contractor (Freeman) is responsible for all freight moving in and out of the facility. Please visit FreemanOnline for more information on the following items:

  • All exhibitors are required to submit their booth plans for approval. Failure to do so may result in the need for inconvenient and potentially costly onsite modifications to your display.

    Deadline to submit: November 17

    Show Management reserves the right to prohibit the installation of any exhibit which does not meet its approval. Exhibitors should be sure that all final exhibit designs are within the construction guidelines and then use the form linked below to submit the details to Show Management for review.

    Special attention should be paid to procedures regarding the following:

    • inline booth setback rules

    • double deckers/ceilings

    • display vehicles

    • open flame/hot works demonstrations

    • hanging signs

  • The purchase price of your booth space includes:

    • 8’ high booth back drape

    • 3’ high draped side dividers

    • 44” x 7” identification sign with company name & booth #. Note: This sign is automatically included for booths up to 300 square feet, but must be specifically requested for spaces larger than 300 square feet.

    Freeman is the general contractor for the show and responsible for all movement of freight within the convention center. They are the exclusive provider of the services below.

  • McCormick Place is a union facility but with certain conditions, exhibitors are permitted to set up and teardown their own exhibits.

  • Employing a Contractor

    Companies other than the official show contractor (Freeman), may be used by exhibitors.

    Exhibitors who chose to employ an EAC other than Freeman must notify Show Management and the EAC needs to provide proof of adequate liability and workman’s compensation insurance (COIs). No outside setup companies will be permitted without these provisions.

    EAC Access to the Building and Exhibit Floor

    EACs will need a BEEP wristband from McCormick Place security to enter the building and a separate set-up and dismantle wristband from show security in order to gain entry to the exhibit floor. Use links below for more details.
